As a Remote Administrative Assistant with Workwarp and DHL, you will play a critical role in ensuring the smooth operation of our business, providing administrative support to senior management, and contributing to the success of our organization.

Key Responsibilities

As a Remote Administrative Assistant, you will be responsible for a wide range of administrative tasks, including:

  • Managing the accounts payable and receivable cycle, including processing invoices, resolving discrepancies, and communicating with vendors.
  • Overseeing the weekly payroll process, ensuring accuracy and timeliness, and resolving any issues that may arise.
  • Providing support to the Senior Manager during the month-end close cycle, ensuring a smooth and efficient process.
  • Preparing high-quality correspondence, reports, and presentations from draft versions, editing language, punctuation, and spelling as needed.
  • Utilizing judgment and initiative to determine the best course of action in non-routine situations, making decisions that may have a significant impact on costs.
  • Screening calls and visitors, providing information to guests, and directing them to the appropriate personnel or department.
  • Maintaining confidentiality and handling sensitive information with discretion, performing a range of administrative tasks that require a high level of professionalism.
  • Preparing and distributing reports, including financial data, and creating high-quality documents, presentations, and proposals.
  • Maintaining the supervisor's schedule, booking meetings and appointments, arranging travel and accommodation, and submitting expense reports.
  • Coordinating high-level meetings with stakeholders, organizing large meetings, and facilitating communication between teams.
  • Acting as a central point of contact for stakeholders on HR and employee relations matters, delegating work to administrative colleagues, and following up on tasks assigned to subordinate managers.

Essential Qualifications and Skills

To be successful in this role, you will need:

  • A High School Diploma or equivalent.
  • At least 2 years of experience using MS Excel, MS Word, and an email system.
  • A minimum of 3 years of related administrative experience, preferably in a logistics or similar industry.
  • 2 years of experience with accounts payable and receivable, or a similar financial role.
  • Excellent organizational, communication, and interpersonal skills.
  • The ability to work independently, with minimal supervision, and as part of a remote team.
  • Strong judgment and initiative, with the ability to make decisions that may have a significant impact on costs.
  • A high level of professionalism, discretion, and confidentiality.

Preferred Qualifications

While not essential, the following qualifications and skills are highly desirable:

  • Experience working in a logistics or similar industry, preferably with DHL or a related company.
  • Knowledge of financial systems, processes, and procedures.
  • Familiarity with HR systems and processes.
  • Excellent technical skills, including proficiency in MS Office and other software applications.
