Senior Manager of Facilities & Projects – U.S. Legal Support – Houston, TX

Job title: Senior Manager of Facilities & Projects Company: U.S. Legal Support Job description: The Sr. Manager, Facilities & Projects will primarily focus on project identification, management, reporting and execution to continuously improve and optimize facilities operational standards and processes. Responsibilities vary from Tenant Improvement projects, capital refreshes, Facilities maintenance programs, vendor management, design implementations, as well as, establishing partnerships with internal and external stakeholders. The successful candidate must be comfortable operating on both the strategic and tactical levels, simultaneously acting as an internal customer relationship manager, educator, analyst, solutions architect, and implementer. A proven track-record, expertise, and passion for facilities management with strong financial acumen is critical. Primary Responsibilities of a Senior Manger of Facilities & Projects

  • Manage overall delivery of multiple functions including; Project Management, Facilities Management (Repair, Maintenance and Cleaning), Health and Safety, Security, Corporate Mail Room Functions, Capital Improvements and Expense Management directly, via internal partner organizations or vendors (outsourced relationships)
  • Partner with sales, operations and cross functional teams of internal stakeholders, vendors, and consultants to develop and deliver outcomes that meet success criteria.
  • Develop and implement effective property management strategies by leveraging technology, teamwork, attention to detail, and innovation to ensure delivery of business requirements.
  • Implement a comprehensive asset management plan for each assigned facility to protect, maintain and improve the value of USLS’s assets and enable site operations. This includes a long-range capital planning in partnership with site leadership to optimize value, manage cost and reduce risk.
  • Manage the execution of all tenant Improvements, renovations, new site expansions, decommissions and small projects.
  • Accountable for all project scheduling, budget creation/tracking and risk mitigation, as well as cross functional ownership for Facilities led initiatives
  • Partner with external firms to implement design and furniture standards that are cost effective and scalable across our portfolio.
  • Manage all vendor relationships and implement performance management program that tracks key KPIs and overall value to the organization.
  • Oversee corporate office mail functions, enterprise access control systems and partner closely with HIPAA Privacy Officer on any facility related HIPAA items.

Qualifications for a Senior Manger of Facilities & Projects

  • A minimum of 10 years professional facilities/project experience required
  • Exceptional communication skills; ability to lead cross-functional teams through influence, advice, and modeled behavior; excellent interpersonal skills; calm under pressure, able to de-escalate and effectively manage escalations at all levels of the company
  • Strong working knowledge of architectural drawings, furniture and space planning concepts.
  • Solid understanding of sourcing/procurement, building systems and maintenance, vendor management and customer service
  • Comfortable with legal terms and structures for standard commercial contracts
  • Strong financial acumen specifically as it relates to budgeting, capital planning & cost forecasting.
  • Strong ability to identify and solve ambiguous problems
  • Self-starter who sets aggressive goals and consistently gets results
  • Demonstrated ability to think strategically and successfully execute tactics
  • Ability to set priorities, handle multiple assignments, act with purpose and move with efficiency
  • Proficient in Microsoft Excel and PowerPoint
