Project Coordinator, Design
Aecon Group Inc. is a Canadian leader in infrastructure development, dedicated to building sustainable projects for future generations. They are seeking a Project Coordinator, Design to support their Hydro design team by ensuring project deliverables are accurate, timely, and aligned with client expectations through administrative and quality assurance support.
Responsibilities
- Support designers by organizing project documentation and preparing GCF packages
- Perform rigorous QA/QC reviews on all deliverables to ensure they meet internal standards and utility requirements prior to client submission
- Monitor project milestones and attainment metrics to ensure timely delivery
- Prepare invoice requests based on completed milestones and maintain accurate project databases, folders, and shared drives
- Assist with critical permit applications, including Form 1000 and Notices of Project
- Manage customer communication lists and draft notification materials for project-affected stakeholders
- Coordinate internal and external meetings by preparing agendas and recording minutes
- Assist management with planning team-building activities and client appreciation events while fostering an inclusive and collaborative culture
Skills
- Post-secondary education in Project Management, Business Administration, or Engineering Technology
- 1–3 years of experience in project coordination or administrative support, preferably within the utilities or engineering sector
- Strong computer skills, specifically with the Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with project tracking tools
- Exceptional attention to detail and the ability to manage multiple priorities and deadlines in a fast-paced environment
- Excellent written and verbal communication skills with the ability to handle confidential information professionally and work collaboratively across multi-disciplinary teams
- Comfort working in a hybrid environment with the ability to work independently or as part of a team
