Talent Acquisition Operations Specialist (Global)

About the Role

Nebius is scaling rapidly, and Talent Acquisition Operations is at the center of enabling that growth. We’re looking for a Talent Acquisition Operations Specialist to support and strengthen our TA Ops function globally. In this role, you will work closely with Talent Acquisition, HR, and cross-functional partners to help maintain efficient, consistent, and compliant hiring processes. You’ll contribute to improving workflows, supporting systems, and ensuring a smooth experience for candidates and hiring teams.

This is a collaborative, hands-on role suited for someone who enjoys problem-solving, working with systems and data, and continuously improving how things work. The role will be located either from Madrid, Spain - or Tel Aviv, Israel.

What You’ll Do

TA Operations & Process Support

  • Support the execution of end-to-end TA processes, ensuring consistency while adapting to regional requirements.
  • Help identify inefficiencies or gaps in recruiting workflows and contribute to process improvement initiatives.
  • Maintain and update TA documentation, including SOPs, playbooks, and process guidelines.
  • Partner with HR, Legal, and People Systems teams to support compliant and standardized hiring practices.

Systems, Tools & Technology

  • Support the day-to-day administration of TA systems (ATS, background checks, assessments, offer management tools).
  • Assist with system updates, enhancements, and implementations, including testing and user support.
  • Help document business requirements and user needs for system improvements.
  • Ensure data accuracy and proper system usage by following established governance practices.

Stakeholder Collaboration & Change Management

  • Collaborate with recruiters, coordinators, and cross-functional teams to support smooth hiring operations.
  • Help with the rollout of new processes, tools, and updates through clear communication and training.
  • Gather feedback from stakeholders to help improve processes and tools over time.

Data, Reporting & Insights

  • Partner with HR Analytics or TA leadership to help generate insights on hiring activity and operational performance.
  • Use data to help identify trends and areas for improvement.

Enablement & Support

  • Assist in training recruiters and coordinators on TA tools and processes.
  • Help troubleshoot system or operational issues and escalate when needed.
  • Work closely with TA Ops and coordination team members to ensure consistent support as the function grows.

What You Bring

  • 3+ years of experience in Talent Acquisition Operations, TA Coordination, or People Operations, with global exposure preferred.
  • Hands-on experience with ATS platforms, especially Greenhouse and related TA technologies (background checks, assessments, offer management, HRIS integrations)
  • Strong organizational and problem-solving skills with attention to detail.
  • Ability to work in a fast-paced, evolving environment with a collaborative mindset.
  • Good communication skills and ability to work effectively with different stakeholders.
  • Comfort working with data and reports (basic to intermediate level).
  • Interest in improving processes and learning new systems.
  • Proactive mindset — you take initiative and follow through on tasks.
