Student Leadership & Involvement Center (SLIC) Programs Assistant -SSP IB (Temporary)

The SLIC Programs Assistant will assist with the onboarding program for incoming students, including planning and implementing orientation sessions, providing guidance on academic policies, and supporting student organizations.

Responsibilities

  • Assists with planning and implementing orientation sessions, including scheduling campus partners, coordinating event logistics, supporting facilities and technology needs, and managing day-of operations
  • Facilitates orientation workshops and small-group sessions for incoming students using established program content and guidelines
  • Assists incoming students with navigating pre-orientation academic requirements, including advising steps and registration tasks
  • Provides general guidance to new students on academic policies, course enrollment expectations, and available academic support services, making referrals to campus advising units as appropriate
  • Facilitates workshops or small-group discussions on academic success strategies such as time management, study skills, and understanding academic expectations for first-year students
  • Assists with maintaining databases for new students, including orientation registrations, tracking attendance, and recording participation in first-year experiences events
  • Assists with submitting catering orders and requests for facilities/IT support in accordance with established procedures
  • Provides administrative support for Orientation Team student leaders and First-Year/Transition Experience Leaders, including timesheet collection, housing coordination, and logistical communication
  • Assists in coordinating New Student Programs team meetings and provides work direction to student leaders during orientation sessions
  • Coordinates routine updates and maintenance of online orientation modules and program materials by gathering information from campus partners, implementing supervisor-directed revisions, and ensuring content accuracy and accessibility
  • Supports program operations by assisting with communication and outreach efforts (including promotional materials, website updates, and social media posts), collecting participant evaluations and tracking program improvement data, and maintaining inventory of program supplies and materials
  • Provides administrative support to student organizations by assisting with recognition and renewal processes, event and risk management forms, academic eligibility checks, and club fund procedures
  • Supports student leaders’ academic eligibility by conducting grade checks, reviewing compliance with university requirements, and referring students to academic resources as appropriate
  • Provides guidance to student organizations on established university and departmental policies, event planning procedures, risk management expectations, and fiscal processes
  • Facilitates workshops and training sessions for student organization officers on topics such as policies, event planning, leadership fundamentals, and organizational development using established materials
  • Assists student leaders with organizational operations, including officer transitions, member recruitment, and navigating common group challenges
  • Supports communication regarding deadlines, policy updates, and resource availability
  • Develop liaison relationships with other University departments to coordinate Greek Life/cultural club/organization programming efforts where appropriate
  • Serve on University committees, including, but not limited to, the Greek Life Expansion Committee, BaySync Committee, and the Welcome Week/al Fresco Committee
  • Participates in departmental task forces and working groups as designated, contributing to discussions and supporting implementation of departmental initiatives
  • Assists in special events as needed
  • Reviews the status of job tasks and responsibilities with the supervisor and/or designee regularly
  • Assists in documenting functional area policies and procedures and trains student leaders in their implementation
  • Performs other duties as assigned by supervisor

  • Working knowledge of principles of individual and group behavior
  • The ability to rapidly acquire such knowledge of the organization, procedures and activities of the specific campus to which the position is assigned
  • The basic principles, practices and major trends in the Student Services field to which assigned
  • Ability to rapidly acquire a working knowledge of the specific objectives of the campus Student Services program and its relationship to the total campus operation
  • Ability to interpret and apply program rules and regulations
  • Ability to gather and analyze data
  • Ability to reason logically, draw valid conclusions and make appropriate recommendations
  • Present clear and concise information orally and in written reports
  • Establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations and other private and public agencies
  • Possession of these knowledge and abilities is typically demonstrated through the equivalent of one year of experience in professional Student Services work at the entry trainee level
  • Equivalent amounts of graduate level job‑related education may be substituted for the required experience
  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or a job‑related field
  • Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year‑for‑year basis
  • Satisfactory completion of a background check (including LiveScan, as appropriate), that may include, but is not limited to: criminal records check, verification of academic credentials, licenses, certificates, credit history, professional references and/or verification of work history is required for employment
  • Understanding of cultural values and educational barriers for low-income, underrepresented students
  • Ability to interpret and use computerized screens on admission, registration, advising, and financial aid to advise students
  • Knowledge of, experience with, and ability to interact and work effectively with a diverse student population and staff
  • Knowledge of university policies and procedures regarding admissions and financial aid
  • Ability to act and use excellent judgment in a fast-paced, service-oriented daily operation
  • Ability to work as a team in a highly collaborative, diverse, and team-oriented environment
  • Effective communication skills including listening, writing, and speaking which includes public speaking
  • Excellent organizational skills used to execute multiple projects and assignments simultaneously with an emphasis on accuracy and detail orientation
  • Ability to take initiative and prioritize tasks
  • Ability to train students in new skills and procedures, provide direction to student assistants
  • Demonstrate a working knowledge of a process for a program-specific application
  • Collect, evaluate, and interpret data to make sound conclusions and appropriate recommendations
  • Anticipate problems and address them proactively and refer them, when needed, to the appropriate person
  • Demonstrated proficiency with Microsoft Office, including Word, Excel and PowerPoint, Visio
  • Knowledge of PeopleSoft applications
  • Prior knowledge of and/or ability to learn and apply CSU policies and procedures
  • Current, valid California Driver's License as well as personal transportation (travel reimbursed per State schedule)
  • Ability to lift up to 25 pounds
  • Ability to work some weekends and evenings when required
