Position Overview – Remote Customer Service Representative

We are seeking an experienced, energetic, and customer‑focused professional to join our Review Team as a Remote Customer Service Representative. In this role, you will serve as the primary point of contact for beneficiaries and healthcare providers, handling inquiries, processing appeals, and ensuring that all correspondence is accurate, timely, and compliant with industry standards. This is a fully remote position with flexible shift options across EST, CST, and PST time zones, and it comes with a full suite of benefits effective from day one.

Key Responsibilities

  • Helpline Management: Answer beneficiary and provider calls through the dedicated helpline, assess each caller’s needs, and either resolve the issue directly or route the request to the appropriate internal or external resource.
  • Correspondence Creation & Proofreading: Draft, merge, proof, and mail letters, ensuring flawless grammar, proper formatting, and adherence to regulatory guidelines.
  • Data Validation & Intake: Retrieve, verify, and enter medical record components, notices, and appeal documentation into the CMS system with meticulous attention to detail.
  • Quality Assurance: Utilize internal quality‑control tools to evaluate both individual performance and team processes, identifying opportunities for continuous improvement.
  • Collaboration & Relationship Building: Foster strong working relationships with internal departments and external partners, acting as an ambassador for arenaflex’s service standards.
  • Process Improvement Participation: Contribute insights from case reviews to help shape more efficient workflows and enhance overall service delivery.
  • Compliance & Timeliness: Ensure all letters and communications are dispatched within established timelines and contain all required components.

Essential Qualifications

  • High school diploma or equivalent; additional post‑secondary business coursework is a plus.
  • Two to three years of clerical experience, including word processing, filing, and telephone‑based customer service.
  • Demonstrated ability to maintain composure and professionalism in high‑stress situations.
  • Excellent verbal and written communication skills, with strong grammar, punctuation, and spelling abilities.
  • Proficiency with PC‑based systems and the ability to quickly learn new software applications.
  • Strong organizational skills, the capacity to multitask, and the discipline to prioritize assignments effectively.
