Why This Role Matters

The Customer Service / Data Entry Representative is the backbone of our claims coordination team. Accurate data entry, diligent follow‑up, and meticulous invoice verification ensure that claims progress smoothly from intake to resolution. Your work directly impacts claim cycle times, client satisfaction, and the financial health of the organizations we serve.

Key Responsibilities

  • Data Entry & Validation: Enter claim information into arenaflex’s proprietary claims management system with a focus on speed and 99.9% accuracy.
  • Information Follow‑Up: Proactively contact internal teams, providers, and claimants to obtain missing documentation or clarification needed to move a claim forward.
  • Invoice Review: Examine invoices attached to claims, verify line‑item details, and flag discrepancies for further investigation.
  • Report Generation: Compile daily, weekly, and monthly reports that summarize claim volumes, status trends, and data quality metrics for senior leadership.
  • Quality Assurance: Perform routine audits of entered data to ensure compliance with internal standards and regulatory requirements.
  • Customer Communication: Provide courteous, clear, and timely responses to claimants and partners via phone, email, or chat, reinforcing arenaflex’s commitment to service excellence.
  • Process Improvement: Identify repetitive bottlenecks, suggest workflow enhancements, and collaborate with the process engineering team to implement automation where feasible.
  • Team Collaboration: Work closely with claims adjusters, underwriting specialists, and the finance department to resolve complex issues and maintain a seamless claims pipeline.

Essential Qualifications

  • High school diploma or equivalent (GED accepted).
  • 6 months to 1 year of professional experience in a customer service, data entry, or administrative role.
  • Demonstrated proficiency with standard office software (Microsoft Office Suite, Google Workspace) and basic familiarity with database or claims management platforms.
  • Typing speed of at least 45 words per minute with high accuracy.
  • Strong attention to detail and the ability to spot inconsistencies in large data sets.
  • Excellent written and verbal communication skills, with a professional and empathetic tone.
  • Legal eligibility to work in the United States (U.S. citizens, permanent residents, asylees, refugees, or temporary residents with unrestricted work authorization). Applicants on F, J, H, or L visas are not eligible.
  • Willingness to undergo a background investigation and provide proof of work authorization.
