Position Overview

The Customer Service Representative – Accounts Receivable Focus is a hybrid role that blends remote work flexibility with occasional on‑site collaboration at our West Orange, NJ office (or Sparta, NJ training center). You will serve as a critical liaison between arenaflex and its diverse customer base, handling invoicing, billing inquiries, sales support, and operational improvement projects. The role is full‑time, with a salary range of $30,000 – $35,000 per year, and we are open to part‑time arrangements for the right candidate.

Key Responsibilities

  • Generate and post invoices accurately using arenaflex’s accounting software.
  • Contact customers proactively to discuss outstanding balances, payment options, and resolve billing disputes.
  • Provide courteous, solution‑focused customer service via phone, email, and text messaging.
  • Assist the billing team with account reconciliations, credit memos, and adjustments.
  • Support the sales department by preparing quotes, processing orders, and tracking order status.
  • Identify and recommend process improvements that enhance operational efficiency and reduce cycle time.
  • Participate in special projects, such as system migrations, data clean‑ups, and customer satisfaction initiatives.
  • Collaborate with cross‑functional teams—including logistics, technical service, and finance—to ensure seamless customer experiences.

Essential Qualifications

  • Excellent verbal and written communication skills, with the ability to convey complex information clearly.
  • Strong problem‑solving aptitude and a quick learning curve for new software and procedures.
  • Proficiency with personal computers; comfortable navigating multiple applications simultaneously.
  • High attention to detail, especially when handling financial data and customer records.

  • Ability to attend an in‑person training period at either the Sparta or West Orange, NJ office.
  • Basic working knowledge of Microsoft Excel, including pivot tables, VLOOKUP, and simple formulas.

Preferred Qualifications & Additional Skills

  • Previous experience in a customer service, accounts receivable, or billing support role.
  • Familiarity with ERP or accounting platforms such as QuickBooks, SAP, or Oracle NetSuite.
  • Experience handling high‑volume inbound and outbound communications (phone, email, SMS).
  • Demonstrated ability to manage multiple priorities while meeting strict deadlines.
  • High school diploma or equivalent; associate or bachelor’s degree in business, finance, or a related field is a plus.
