Position Overview: Remote Data Entry Specialist

As a Remote Data Entry Specialist within our Financial Benefits Administration team, you will play a critical role in administering retirement plans that empower our associates to build financial security and work toward their long-term economic goals. This isn't just a data entry job — it's an opportunity to become an expert in benefits administration, compliance, and systems management while supporting the financial wellness of thousands of people.

You will be responsible for the daily administration of 401(k) plans and other retirement benefits, working closely with senior leadership, third-party administrators, legal advisors, and cross-functional teams. Your work will directly impact how associates understand, engage with, and benefit from their retirement plans. This role is perfect for someone who enjoys variety, takes pride in precision, and wants to develop a specialized skill set in a high-demand field.

Key Responsibilities

Your day-to-day work as a Remote Data Entry Specialist at arenaflex will be dynamic and multifaceted. Below is a detailed breakdown of what you can expect:

  • Compliance and Regulatory Management: Work alongside senior leadership and legal counsel to ensure accurate procedures are in place for maintaining compliance with 401(k) regulations. This includes researching pending legislation, monitoring changes to existing laws, managing enrollment requests within designated timeframes, developing and organizing process training, and creating communication materials for internal and external stakeholders.
  • Third-Party Administrator (TPA) Coordination: Manage relationships with third-party administrators by researching and benchmarking new partners, providing analytical support to senior management, conducting on-site visits and audits, and ensuring service and financial goals are met according to contractual agreements. You will serve as the primary point of contact for TPA communication, translating requirements and providing ongoing training.
  • Eligibility File Management: Oversee digital eligibility files and discrepancies across all benefits plans, ensuring administration complies with federal, state, and local regulations. This involves researching and interpreting new and changing rules, determining system and process solutions, resolving identified discrepancies, collaborating with vendors, and implementing reporting controls to ensure accuracy and compliance.
  • Plan Design and System Configuration: Manage plan design change projects for benefits systems by analyzing project requirements, interpreting file layout specifications, evaluating current system limitations, determining necessary modifications, and collaborating with information systems teams to identify optimal solutions while maintaining regulatory compliance.
  • Project Leadership: Develop comprehensive project plans and guide business users through the project management lifecycle. This includes determining required changes, creating communication plans, working with business units to establish approval parameters, and managing the approval process for project modifications.
  • Data Analysis and Reporting: Leverage your analytical skills to work with large data sets, identify trends, resolve complex issues affecting internal teams and external vendors, and produce detailed performance reports for management review.
  • Stakeholder Support: Provide expert advice and guidance to colleagues, support alignment efforts to meet customer and business needs, and build commitment around key perspectives and rationales through clear communication and sound judgment.
  • Business Solution Implementation: Build strong relationships with key stakeholders, identify business needs, implement necessary strategies, monitor progress and outcomes, and capitalize on improvement opportunities as they arise.
  • Ethics and Compliance Modeling: Demonstrate unwavering commitment to organizational policies, procedures, and ethical standards. Use available resources like the Open Door policy to support team members and model integrity in all business practices.

  • Analytical Acumen: Strong analytical abilities with comfort working with large data sets, basic knowledge of statistical analysis, and a methodical approach to problem-solving.
