Title: Philanthropy Administrator - Grateful Giving & Donor Relations Location: Houston United States Job Description: Philanthropy Administrator - Grateful Giving & Donor Relations The Philanthropy Administrator supports the Grateful Giving and Donor Relations team, a group dedicated to advancing the mission of philanthropy at MD Anderson Cancer Center by fostering a culture of giving centered on patients and their charitable contributions. The Philanthropy Administrator plays a key role in providing highly organized programmatic, project, and administrative support to ensure effective execution of grateful patient fundraising initiatives and donor relations strategies. This position works closely with multiple teams and provides high-level administrative support to the Executive Director, Grateful Giving and Donor Relations, ensuring operational excellence and consistent communication across stakeholders. The Philanthropy Administrator contributes directly to this mission by supporting donor recognition, stewardship, engagement, and operational coordination that enable meaningful philanthropic partnerships and lasting impact. The Philanthropy Administrator collaborates across the institution to ensure programs are delivered with precision, quality, and strategic alignment, while strengthening internal operations and supporting leadership decision making. The ideal candidate for the Philanthropy Administrator is a highly organized administrative professional with experience supporting senior leadership, managing complex projects, and coordinating operations in a fast-paced environment. Strong skills in business operations, project coordination, CRM systems, and stakeholder collaboration are essential, along with the ability to manage multiple priorities with attention to detail and professionalism. Experience in philanthropy, donor relations, or complex institutional settings is well suited for this role. Salary Range - Minimum Salary: $68,500 Midpoint Salary: $85,500 Maximum Salary: $102,500 Work location is remote Why Us? Responsibilities

Philanthropic Business Operations

  • Manage philanthropic business operations including communication dissemination, budget planning and oversight, and program data accuracy and quality
  • Maintain accurate, current content on the Philanthropy division SharePoint site in collaboration with team leads
  • Prepare, review, and process activity reports for three team members to support operational tracking
  • Serve as procurement card holder and reconciler, monitoring expenditures and ensuring compliance with institutional guidelines
  • Coordinate complex travel logistics and manage expense reporting with accuracy and timeliness
  • Manage end-to-end meeting logistics, including scheduling, agendas, documentation, and action item tracking
  • Anticipate and proactively address operational needs of the Executive Director through calendar management and workflow analysis

Team Operations

  • Oversee team and program-level administrative processes and operational workflows
  • Track metrics, validate data integrity, and support output reporting and budget compliance
  • Maintain organized digital filing systems with version control and documentation standards
  • Develop subject matter expertise in the CRM platform to support Grateful Giving and Donor Relations processes
  • Design and implement CRM workflows to capture and track programmatic activities
  • Submit and manage CRM cases on behalf of the Executive Director to ensure timely resolution

Project Coordination

  • Execute project requirements for team and squad-level initiatives with timely, high-quality deliverables
  • Develop systems to enhance visibility of team objectives, progress, and accomplishments for senior leadership
  • Promote internal knowledge sharing through division-wide communications
  • Lead logistical planning for key initiatives, including the Grateful Giving Program curriculum, annual luncheon, and team retreats

EDUCATION

  • Required: Bachelor's Degree Business, Communications, Marketing, English, Journalism or related field.
  • Preferred: Master's Degree Business, Communications, Marketing, English, Journalism or related field.

WORK EXPERIENCE

  • Required: Three years direct experience in development operations.
  • May substitute Bachelor's degree with additional years of equivalent experience on a one to one basis.
  • Preferred: Five years Marketing, public relations or college admissions.
