About the Role: Remote Customer Experience Specialist

As a Remote Customer Experience Specialist at arenaflex, you will be the frontline ambassador of our brand, serving as the primary point of contact for our valued B2B customers. Reporting directly to the Customer Service Manager, you will play an instrumental role in addressing inquiries, resolving concerns, and facilitating seamless order transactions. This full-time hourly position is ideal for someone who takes pride in clear communication, problem-solving, and building lasting professional relationships.

You will interact with customers through multiple channels — including phone, email, and online chat — providing timely, accurate, and friendly support. Whether you are helping a long-standing partner place a reorder, troubleshooting a product question, or coordinating with internal teams to resolve a complex issue, your work will directly contribute to arenaflex's reputation for outstanding service.

Key Responsibilities

As a vital member of our customer service team, your day-to-day responsibilities will include:

  • Customer Engagement: Interact with customers via phone, email, and online chat to deliver an outstanding experience through timely, precise, and professional communication.
  • Order Processing: Collect, enter, and manage sales orders for our products, ensuring accuracy and completeness at every step.
  • Issue Resolution: Field customer questions and concerns, take appropriate action to develop effective resolutions, and follow up to ensure satisfaction.
  • Sales Support Coordination: Manage the flow of sales orders for internal sales partners, confirming accuracy and addressing any discrepancies proactively.
  • CRM and Data Management: Maintain accurate and up-to-date customer records in our CRM and other business systems to support seamless service delivery.
  • Relationship Building: Establish and maintain effective working relationships with internal teams, external partners, and customer organizations.
  • Project Assistance: Support various projects, initiatives, and other duties as needed to contribute to the team's overall success.

What We Are Looking For: Qualifications and Experience

Required Qualifications

  • Education: An Associate's degree (AA) or equivalent from a two-year college or technical school, OR an equivalent combination of education and relevant experience.
  • Customer Service Experience: A minimum of two years of customer service experience in a B2B (business-to-business) setting, demonstrating a proven ability to adapt and respond to diverse customer needs.
  • Professional Presence: A professional, outgoing, and service-oriented demeanor that shines through in every interaction.
  • Technical Proficiency: Strong proficiency in the Microsoft Office Suite, with the ability to learn new software tools quickly.

Preferred Qualifications

  • Hands-on experience with CRM, ERP, and warehouse management systems.
  • Familiarity with customer support platforms such as Zendesk and project management tools like Asana.

Work Environment and Schedule

This position operates in a professional office environment — either from our Portland, OR office or remotely from your home office. The role routinely uses standard office equipment such as computers and phones. Please note: this posting is not intended for employment in the following states: California, Colorado, Washington, New Jersey, or Rhode Island.

This is largely a sedentary role that requires the ability to talk, write, and listen for extended periods. On rare occasions, you may be asked to assist with setup and teardown for trade shows, which may require lifting up to 50 pounds.

The position is full-time, totaling 40 hours per week. Some flexibility in scheduling is allowed and required, but the employee must be available on most days during normal working hours. Day shift is the primary schedule, with very limited out-of-area and overnight travel potentially needed on an annual basis for team meetings.
