Position Summary
arenaflex is hiring a Remote Customer Service Representative – Inbound Scheduling & Customer Support Specialist to join our Field & Operations Support Center team. In this role, you will be the first point of contact for both internal and external customers, handling a steady flow of inbound calls related to appointment scheduling, reschedules, confirmations, and general service inquiries. You will serve as a critical link between our customers and our field operations, ensuring every caller experiences a seamless, professional, and helpful interaction.

Major Responsibilities
As a Remote Customer Service Representative at arenaflex, you will take ownership of a high volume of inbound calls and deliver a consistently excellent customer experience. Your core responsibilities will include:
- Receiving and managing approximately 100–150 inbound calls per day from both internal teams and external customers with professionalism, accuracy, and empathy.
- Delivering “one call” resolution whenever possible, minimizing the need for transfers while ensuring the customer’s needs are fully met.
- Handling all customer scheduling requests, including appointment confirmations, reschedules, new appointments, and general scheduling inquiries.
- Making accurate dispatch decisions to send a technician on-site when in-person service is required, following established protocols and judgment-based criteria.
- Navigating complex customer scenarios with confidence, using strong problem-solving and customer service skills to prevent escalation and ensure satisfaction.
- Acting as a key liaison between the customer and internal workgroups such as FOSC Productivity Specialists, Universal Agents, and the Advanced Customer Inbound team, advocating for the customer’s specific scheduling needs.
- Resolving inquiries related to SMS text appointment confirmations and confirming site readiness when required.
- Utilizing multi-tasking abilities to manage calls, documentation, and system navigation simultaneously without sacrificing quality.
- Documenting interactions accurately in internal systems, ensuring records are complete and updated in real time.
- Meeting individual and team performance goals related to call handling, quality, customer satisfaction, and scheduling accuracy.
Knowledge, Skills, and Abilities Required

Essential Qualifications
- High School diploma or GED equivalent is required.
- Superb customer service skills with a strong commitment to delivering exceptional experiences on every call.
- Typing speed of at least 45 words per minute (wpm) to keep pace with call volume and accurate documentation.
- Strong problem-solving and decision-making ability, with the confidence to make judgment calls within established policies and procedures.
- Strong multi-tasking ability, capable of managing calls, navigating multiple systems, and updating records simultaneously.
- Excellent written and verbal communication skills, with the ability to convey information clearly, professionally, and empathetically.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
- General technical knowledge and comfort working with computers, web-based systems, and digital tools.
- Ability to prioritize decisions based on multiple criteria, including policy, customer impact, urgency, and operational standards.
Preferred Competencies
- Prior experience in a high-volume call center or customer support environment is a plus, but not required.
- Experience working remotely and demonstrating self-discipline, time management, and home office productivity.
- Familiarity with appointment scheduling, dispatch operations, or field service coordination.
- A background in, or passion for, the smart home security, home services, or technology industry.
