[Remote] Finance and Operations Manager
Note: The job is a remote job and is open to candidates in USA. Mass Global Logistics is a Logistics Management Firm that helps companies optimize their logistics systems and reduce overall costs. They are seeking a Finance and Operations Manager to oversee all financial operations, manage Quickbooks, handle payroll, and ensure accurate billing and invoicing for shipments. The role includes both finance and operations responsibilities, with training provided by current staff.
Responsibilities
- Review every single shipment for quote accuracy and dispute incorrect charges with carriers
- Prepare each shipment to be billed each week
- Perform AP and AR weekly
- Handle weekly payroll and manage communications with each state we run payroll in
- Create invoices every week and send them out
- Manage Quickbooks and reconcile transactions
- Communicate with our accountant
- Manage the license and insurance for the company on an annual basis
- New employee registration / screening
- Work with Checkr for background checks
- Quarterly taxes / 1099 forms at the end of the year
- Processing new orders by providing a BOL#, PRO#, and Carrier based on preset criteria
- Making shipping documents as necessary
- Any other Operations related work as advised by the Sr. Operations Manager as it comes up
Skills
- Must be able to work 11am to 8pm EST Monday through Friday
- 5+ years of advanced experience managing QuickBooks Online (reconciliations, generating weekly invoices, and managing full-cycle AP/AR)
- Must be able to follow and improve financial SOP's clearly providing directions as to how each aspect of the job is done
- Strong analytical skills to audit invoices and the assertiveness to effectively dispute unauthorized or erroneous vendor charges
- Mandatory experience managing US payroll across multiple states, including an understanding of state-level entity connections, tax withholdings, and compliance. We use Deel for all payroll
- Previous experience managing annual business renewals, including corporate licenses, entity registrations, and commercial insurance policies
- Demonstrated ability to handle highly sensitive financial and employee data with discretion
- 5+ years of highly detail oriented operations experience with thousands of products
- 5+ years experience overseeing and managing vendors
- Must have extensive experience using Gmail, Google Docs, and Google Sheets
- A high degree of accuracy is required to ensure no mistakes are made as we work with many numbers and orders for each shipment. Accuracy in your work is highly important
