[Remote] Director of Operations - Marketing Agency

Spa Surge is a marketing agency seeking a highly organized and proactive Director of Operations to manage day-to-day operations and ensure organizational efficiency. The role involves overseeing project management, team performance, and client operations while fostering a positive culture and implementing systems for growth.
Responsibilities
- Oversee all project management processes within Monday.com
- Ensure projects are properly assigned, tracked, and completed on schedule
- Monitor team workloads and resource allocation
- Follow projects from initiation through completion
- Facilitate communication between departments to remove bottlenecks
- Ensure all client deliverables meet company quality standards
- Lead the recruitment process for key team members, including:
- Conduct interviews and make hiring recommendations
- Manage employee performance, accountability, and development
- Handle disciplinary actions and employee terminations when necessary
- Create and maintain employee PTO tracking systems
- Foster a positive, high-performance culture throughout the organization
- Oversee client onboarding processes
- Ensure a seamless transition from sales to fulfillment
- Coordinate and manage client-related events and initiatives
- Facilitate requests coming from Account Managers and clients, including:
- Manage the Design and Creative Department
- Supervise Designers and Automation Specialists
- Ensure creative projects are completed accurately and on time
- Improve creative production workflows and efficiencies
- Maintain quality control standards across all client-facing deliverables
- Develop, document, and improve internal systems and SOPs
- Identify operational inefficiencies and implement solutions
- Ensure agency automations and workflows remain functional and optimized
- Troubleshoot operational issues and coordinate resolutions
- Continuously improve scalability and efficiency throughout the business
- Ensure billing reports are completed accurately and on time
- Monitor operational KPIs and reporting systems
- Maintain organizational accountability across departments
- Assist leadership with operational forecasting and planning
- Identify opportunities for operational improvement and company growth
- Research and evaluate new service offerings, revenue streams, and market niches
- Assist leadership with strategic planning initiatives
- Help develop systems that support company expansion
- Manage future department leaders, including a Google Ads Manager
- Review KPI reporting from department managers
- Ensure marketing teams are meeting performance benchmarks and client goals
- Provide operational support and accountability across fulfillment teams
Skills
- 10+ years of operations management, project management, or agency leadership experience
- Strong leadership and team management skills
- Experience hiring, managing, and developing employees
- Exceptional organizational and project management abilities
- Experience with Monday.com or similar project management software
- Ability to manage multiple projects and priorities simultaneously
- Strong communication and problem-solving skills
- Systems-oriented mindset with a passion for process improvement
- Experience working within a digital marketing agency
- Familiarity with Facebook Ads, Google Ads, CRM systems, and marketing automation
- Experience managing creative teams and marketing fulfillment departments
- Knowledge of operational reporting and KPI management
