About the Role

We are seeking a meticulous, customer-obsessed, and highly organized Customer Service Associate – Global Pharmaceutical Diagnostics Order Support & Partner Relations Specialist to join our growing team. In this role, you will be the trusted point of contact for end customers, international distributors, and subsidiary partners, providing outstanding service while ensuring strict compliance with company policies and regulatory standards. You will manage the complete order lifecycle — from initial receipt through final shipment — while building durable, trust-based relationships that help drive long-term commercial success.

This position operates on a closing shift schedule, working 9:30 a.m. to 6:30 p.m. EST, Monday through Friday, with a one-hour lunch break each day. The schedule is designed to support our global partner network across multiple time zones, making this an ideal opportunity for someone who enjoys a structured afternoon-to-evening rhythm and takes pride in closing each day with everything handled and every customer informed.

Key Responsibilities

  • Deliver Exceptional Customer Experiences: Provide best-in-class service to end customers, distributors, and subsidiaries, consistently exceeding expectations and reinforcing arenaflex's reputation as a trusted global partner.
  • Manage the Full Order Lifecycle: Receive, review, and process customer orders in alignment with company policy and enterprise systems. Follow each order through to shipment, ensuring accuracy, timeliness, and a high standard of service quality at every touchpoint.
  • Ensure Continuous Compliance: Uphold all regulatory, procedural, and internal compliance requirements throughout the order management process, contributing to arenaflex's strong culture of integrity and operational discipline.
  • Collaborate Across Functions: Work closely with colleagues in sales, logistics, finance, regulatory, and quality teams to resolve disputes, clarify order details, and deliver seamless service to customers.
  • Build Lasting Partner Relationships: Develop close, trust-based relationships with customers, distributors, and commercial partners, becoming their go-to resource for information, quotations, and problem resolution.
  • Respond with Speed and Professionalism: Address customer queries in a timely, courteous, and professional manner, balancing urgency with accuracy.
  • Develop Deep Product and Supply Chain Knowledge: Build solid knowledge of arenaflex's pharmaceutical diagnostics products and the end-to-end supply chain, enabling you to provide accurate, informed guidance to customers.
  • Demonstrate a Flexible, Proactive Mindset: Approach daily work as part of a collaborative team, proactively identifying ways to improve service quality and operational efficiency.
  • Strengthen Cross-Departmental Partnerships: Cultivate effective working relationships with internal departments to better understand the downstream impact of decisions on customers and service levels.
  • Provide Accurate Information and Quotations: Deliver precise, policy-compliant information and pricing quotations to customers and distributors upon request, in line with company guidelines.

Essential Qualifications and Requirements

  • Customer Service Experience: Some prior experience in a customer service or customer-facing environment, ideally within a corporate, healthcare, pharmaceutical, or distribution setting.
  • Outstanding Communication Skills: Excellent written and verbal communication skills, with the ability to convey information clearly, professionally, and empathetically.
  • Proficiency in Microsoft Office: Competent working knowledge of Microsoft Excel and Word, with the ability to manage data, generate reports, and produce professional correspondence.
  • Self-Management Skills: Ability to manage your own time, priorities, and tasks in a proactive, organized, and self-directed manner.
  • Organizational and Administrative Strength: Excellent organizational skills with strong attention to administrative detail and accuracy.
  • Analytical Problem-Solving: A calm, methodical, and analytical approach to identifying and resolving customer issues.
  • Language Skills: Ability to communicate effectively in the local language, with additional languages considered a strong asset depending on the regional needs of the role.
  • Schedule Availability: Ability to consistently work the closing shift of 9:30 a.m. to 6:30 p.m. EST, Monday through Friday, with a one-hour lunch break daily.

Compensation, Perks, and Benefits

We expect all employees to live and breathe our behaviors, and we reward that commitment with a comprehensive total rewards package. For U.S.-based candidates, the expected pay range for this position is $40,800 to $61,200 annually, with compensation determined based on skills, qualifications, experience, and location. Top performers may also be eligible for performance-based incentive compensation, including cash bonuses and long-term incentives.
