Why This Role Matters

At arenaflex, the Data Entry Specialist is a critical member of the data integrity team. Accurate entry of work order and invoice information fuels the entire billing, auditing, and reporting ecosystem that our customers rely on to manage costs and maintain compliance. By ensuring that every line item is entered correctly and reviewed for discrepancies, you directly contribute to cost savings, operational transparency, and the overall success of arenaflex’s supply‑chain solutions.

Role Overview

This full‑time, non‑exempt position is based in the Toledo, Ohio area. While the role primarily involves remote work from a home office, candidates must be able to attend in‑person team meetings, training sessions, and special events at the arenaflex headquarters in Perrysburg, Ohio, or other local sites as needed. The ideal candidate thrives in a structured environment, enjoys repetitive yet purposeful tasks, and possesses a keen eye for detail.

Key Responsibilities

  • Data Entry Accuracy: Independently and precisely key work order and invoice data into the arenaflex enterprise system, meeting daily and month‑end deadlines.
  • Target Achievement: Consistently meet or exceed weekly productivity targets for records processed.
  • Vendor Collaboration: Communicate with service providers to obtain missing information, resolve discrepancies, and ensure invoices are complete and accurate.
  • Invoice Auditing: Perform first‑line audits to identify duplicate, excessive, or erroneous charges; initiate disputes where appropriate.
  • Cost‑Savings Tracking: Document and report identified cost‑saving opportunities to the Customer Service Management (CSM) team.
  • Cross‑Functional Communication: Partner with CSMs, finance, and operations teams to relay findings, support billing accuracy, and contribute to continuous‑improvement initiatives.
  • Special Projects: Participate in ad‑hoc projects, system enhancements, and process‑optimization efforts as assigned.
  • Quality Assurance: Review entered data for completeness and reasonableness, flagging any anomalies for further investigation.

Essential Qualifications

  • High school diploma or equivalent; an Associate’s degree is preferred but not required.
  • Demonstrated proficiency in keyboarding with a minimum typing speed of 60 WPM and an error rate of less than 2%.
  • Strong organizational skills and the ability to manage multiple priorities under tight deadlines.
  • Working knowledge of Microsoft Excel and Word; familiarity with Salesforce or similar CRM platforms is a plus.
  • Basic understanding of material handling, warehousing, or aerial equipment terminology (preferred).
  • Excellent written and verbal communication skills; ability to interact professionally with internal teams and external vendors.
  • Self‑motivated, detail‑oriented, and comfortable performing repetitive tasks without loss of accuracy.
  • Must reside in or near the Toledo, Ohio area and be able to travel locally for occasional in‑person meetings.

Preferred Qualifications & Additional Skills

  • Experience in a data‑entry, accounting, or logistics support role within a supply‑chain environment.
  • Familiarity with ERP or asset‑management systems (e.g., SAP, Oracle, or custom arenaflex platforms).
  • Prior exposure to invoice reconciliation, cost‑avoidance analysis, or financial auditing processes.
  • Ability to quickly learn new software tools and adapt to evolving business processes.
  • Strong problem‑solving mindset; comfortable escalating issues and proposing corrective actions.
  • Demonstrated commitment to continuous learning and professional development.

Core Competencies

  • Attention to Detail: Meticulous verification of data to prevent costly errors.
  • Time Management: Efficiently prioritize tasks to meet daily, weekly, and month‑end goals.
  • Customer Focus: Provide courteous, solution‑oriented service to both internal stakeholders and external vendors.
  • Team Collaboration: Work seamlessly with cross‑functional teams, sharing insights that drive cost savings.
  • Adaptability: Thrive in a fast‑changing environment where priorities may shift quickly.
  • Technical Literacy: Comfortable navigating spreadsheets, databases, and web‑based applications.

Physical Demands

The role primarily involves sedentary work performed at a home office or an arenaflex office setting. Employees are expected to sit or stand for up to eight (8) hours per day, use hands for repetitive typing motions, and occasionally lift items weighing up to ten (10) pounds. Reasonable accommodations are available for individuals with disabilities.

Work Environment

While most daily tasks are completed from a home office, the position requires periodic attendance at team meetings, training sessions, and company events in the Toledo area. Communication is facilitated through digital channels—email, instant messaging, and video conferencing—ensuring that remote team members stay connected and aligned with corporate objectives.

arenaflex offers a competitive compensation package that includes:

  • Base salary commensurate with experience, plus incentive opportunities and overtime eligibility.

  • Retirement savings options, including a 401(k) plan with company match.
  • Company‑paid life insurance and short‑ and long‑term disability coverage.
  • Eight (8) paid holidays per year and generous paid time off (128 hours annually for full‑time employees).
  • Continuous learning programs, mentorship from industry experts, and access to internal training resources.
  • Employee assistance programs, wellness initiatives, and a supportive, inclusive workplace culture.
