Role Overview

The Customer Service Representative – Data Entry & Document Review is a pivotal liaison between arenaflex’s internal shop teams and external customers. This role ensures that every railcar maintenance event—whether it involves structural repair, paint/coating application, or specialized cleaning—is meticulously documented, accurately tracked, and fully compliant with all regulatory and customer‑specific requirements. The successful candidate will act as the primary point of contact for customers, manage the flow of critical documentation, and maintain the integrity of arenaflex’s mechanical and tracking systems. This position is ideal for detail‑oriented professionals who excel at multitasking, communication, and process optimization within a fast‑paced logistics environment.

Key Responsibilities

  • Customer Liaison: Serve as the primary contact for internal and external customers, promptly answering inquiries, providing status updates, and ensuring a seamless communication channel throughout the maintenance lifecycle.
  • Document Intake & Verification: Evaluate en‑route notifications, confirming receipt of essential documents such as Material Safety Data Sheets (MSDS), cleaning certificates, engineering drawings, shop instructions, and historical shop records.
  • Railcar File Preparation: Prepare or supervise the preparation of comprehensive railcar files, guaranteeing that all required forms, documentation, and technical drawings are available for shop personnel.
  • Work Order Review: Scrutinize work orders and associated forms for accuracy, completeness, and compliance before they are entered into the system.
  • Estimate Management: Input and upload cost estimates, pursue customer approvals, conduct final reviews, and close out car files in a timely manner.
  • System Updates: Maintain both internal and external tracking systems, updating car status, mechanical records, and any changes that affect service delivery.
  • Mechanical System Coordination: Participate in the ongoing update of Customer Mechanical Systems to prevent defects, missed updates, and premature record closures.
  • Reporting & Analytics: Generate daily, weekly, and monthly railcar status reports using arenaflex’s computer systems; compile customer updates for corporate reporting as required.
  • Responsive Communication: Respond to customer requests, emails, and phone calls within 24 hours, even when a definitive answer is not yet available, to keep customers informed of progress.
  • Conference & Audit Participation: Join customer‑related conference calls, site visits, and audits as directed by plant management, providing documentation support and answering technical questions.
  • Continuous Improvement: Identify opportunities to streamline documentation workflows, reduce turnaround times, and enhance data accuracy, contributing to arenaflex’s culture of operational excellence.
  • Additional Duties: Perform other related tasks and projects as assigned, supporting the broader objectives of the Customer Service and Maintenance teams.

Essential Qualifications

  • High school diploma or equivalent; associate degree in business administration, logistics, or a related field is preferred.
  • Minimum of 2‑3 years of experience in data entry, document control, or customer service within a transportation, manufacturing, or industrial setting.
  • Demonstrated ability to interpret technical documents such as MSDS, engineering drawings, and maintenance manuals.
  • Proficiency with enterprise resource planning (ERP) systems, preferably SAP, Oracle, or a rail‑specific platform.
  • Strong computer skills, including Microsoft Office Suite (Excel, Word, Outlook) and familiarity with document management tools.
  • Excellent written and verbal communication skills, with a focus on clarity, professionalism, and timely response.
  • Detail‑oriented mindset with a proven track record of maintaining high data integrity and accuracy.

  • Prior involvement in audit preparation, compliance reporting, or regulatory filing processes.
