Key Responsibilities of the Live Chat Representative Role

As a Live Chat Representative at arenaflex, you will be responsible for managing a high volume of real-time conversations with prospective patients visiting our website. Your core mission is to qualify leads, provide accurate information, and seamlessly transition interested individuals to our practice-based PLs for consultation booking. Below is a detailed breakdown of what your day-to-day will look like:

  • Real-Time Chat Management: Handle multiple live chat conversations simultaneously through our website chat interface, delivering quick, accurate, and professional responses to every visitor who reaches out.
  • CRM Engagement: Utilize our customer relationship management (CRM) platform to document interactions, track prospective patient journeys, and schedule in-clinic or virtual consultations effectively.
  • Lead Qualification: Identify high-quality leads by asking the right questions, understanding visitor needs, and determining fit for our practice-based services.
  • Information Delivery: Provide accurate details including starting prices, approved service information, and answers to frequently asked questions in accordance with approved scripts and brand guidelines.
  • Lead Journey Execution: Follow the structured lead journey process established by arenaflex, ensuring every prospective patient experiences a consistent, supportive, and informative journey from first contact to consultation booking.
  • Strategic Sales Collaboration: Work closely with Leadership and the Director of Sales Operations to meet and exceed strategic sourcing targets, KPIs, and sales goals.
  • Cross-Location Support: Assist with patient lead efforts for additional practice locations as business needs dictate, helping the broader organization achieve unified growth objectives.
  • Sales Administrative Assistance: Support the sales team with various administrative tasks including data entry, record updates, and ad hoc projects as assigned.
  • 100% Response Commitment: Maintain a focus on quantity by responding to every live chat that comes through, ensuring no prospective patient is ever left waiting or ignored.
  • Quality Conversation Standards: Maintain a focus on quality by engaging in meaningful, empathetic, and informative conversations that genuinely help prospective patients make confident decisions.

Essential Qualifications and Requirements

To excel in this role at arenaflex, candidates must meet the following baseline qualifications:

  • Schedule Availability: Must be available to work evening hours from 5:00 PM to 1:00 AM Eastern Time (which equals 3:00 PM to 10:00 PM Pacific Time), or any timezone in between. Training will take place from 9:00 AM to 5:00 PM local time during the onboarding period.
  • Weekend Availability: Must be available to work at least one weekend day, with candidates available for both Saturday and Sunday receiving strong preference.
  • Sales Experience: A minimum of one year of sales experience, ideally in inside sales, remote sales, or a similar customer-acquisition-focused environment.
  • CRM Proficiency: Hands-on experience with a CRM platform, preferably Intercom or Salesforce, with the ability to learn new systems quickly.
  • Typing Speed: A typing speed of at least 60 words per minute is required to manage high chat volume effectively.
  • Multitasking Ability: Demonstrated capability to manage several live chat conversations at once while maintaining accuracy, warmth, and professionalism.
  • Technical Proficiency: Strong working knowledge of Microsoft Office Suite and Google Workspace tools.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to adapt tone and messaging to different visitor personalities and needs.
  • Performance Orientation: A track record of achieving defined targets, KPIs, and performance metrics in prior roles.
