Position Overview

The Remote Medical Records Coordinator is a key member of arenaflex’s Customer Service and Data Entry team. In this role, you will perform meticulous quality checks on automated reports, manage electronic document processing, and ensure that every member’s health information is accurately filed in our Electronic Medical System (EMS). You will collaborate with cross‑functional departments, resolve data discrepancies, and support interpreter assignments—all while maintaining the integrity of our data ecosystem.

Core Responsibilities

  • Quality Assurance & Reporting: Conduct thorough quality checks on automated reports and scanned documents to guarantee data integrity and compliance with reporting standards.
  • Electronic Document Management: Process members’ electronic records, verify data accuracy, and identify missing or incomplete information for timely correction.
  • Discrepancy Resolution: Apply standard operating procedures to resolve data inconsistencies, and coordinate with originating departments to retrieve corrected documents.
  • Interpreter Coordination: Review interpreter availability, assess geographic considerations, and assign staff to field assignments efficiently.
  • Manual Mailings Support: Facilitate manual mailing processes for various internal departments, ensuring timely and accurate distribution.
  • Member Lifecycle Management: Update the centralized NY State Uniform Assessment System (UAS) with new enrollments, disenrollments, and transfers across product lines.
  • Cross‑Department Collaboration: Partner with compliance, IT, and operations teams to streamline document workflows and improve system usability.
  • Continuous Improvement: Identify opportunities to enhance data entry processes, suggest automation enhancements, and contribute to best‑practice documentation standards.
  • Additional Duties: Perform any other tasks assigned by management that support arenaflex’s mission and operational excellence.

Essential Qualifications

  • High school diploma or GED equivalent.
  • Demonstrated ability to prioritize tasks, meet deadlines, and follow through on assignments with minimal supervision.
  • Proficiency in navigating the Internet and using web‑based applications.
  • Experience working simultaneously with multiple electronic documentation systems.
  • Basic troubleshooting skills for hardware and software issues, with the ability to collaborate remotely with technical support.
  • Prior exposure to an electronic patient health information (PHI) database or medical records system.
  • Strong Microsoft Excel capabilities, including editing, searching, sorting, filtering, and using pre‑built pivot tables to locate and analyze data.
  • Data entry and database management experience, preferably within a healthcare setting.
  • Exceptional attention to detail for quality checks, proofreading, and data validation.
  • Familiarity with Medicare, Medicaid, managed‑care concepts, and basic medical terminology.
