Key Responsibilities

  • Scheduling & Calendar Management: Coordinate and manage appointments, meetings, and events for both external clients and internal project teams. Send timely reminders, resolve conflicts, and maintain an up‑to‑date master calendar.
  • Administrative Assistance: Provide comprehensive support for routine administrative tasks, including email triage, document preparation, file organization, and the creation of presentation materials.
  • Travel Bookings & Itinerary Planning: Research, book, and confirm flights, accommodations, ground transportation, and ancillary services. Ensure cost‑effectiveness, compliance with client policies, and accuracy of all travel details.
  • Customer Service & Client Communication: Serve as the primary point of contact for client inquiries. Deliver prompt, courteous, and solution‑focused responses via phone, email, or chat.
  • Data Entry & Management: Accurately input, update, and maintain client‑related data in our CRM and travel management systems. Perform regular data quality checks and generate reports as needed.

Essential Qualifications

  • Minimum of 2 years’ experience in administrative support, scheduling, or customer service roles, preferably in a remote or virtual environment.
