With a culture rooted in continuous improvement, collaboration, and respect for every team member, arenaflex has become a trusted partner for companies seeking to modernize their data handling practices.

Role Overview

We are seeking a meticulous Data Entry Clerk to join our dynamic data operations team. In this role, you will be responsible for converting paper documents, handwritten notes, and electronic files into accurate, searchable digital records. You will work closely with senior data managers, quality assurance specialists, and other members of the data team to ensure that every piece of information entered into our systems meets the highest standards of accuracy and completeness. This position is ideal for a computer‑savvy individual who thrives on repetitive, detail‑oriented tasks and enjoys contributing to a larger mission of digital transformation.

Key Responsibilities

  • Transfer data from paper formats (invoices, contracts, forms, handwritten notes) into computer files or database systems using keyboards, data recorders, or optical scanners.
  • Enter customer‑provided data directly into designated fields, ensuring that each entry reflects the source information precisely.
  • Create, maintain, and update large spreadsheets containing numerical data, financial figures, or inventory counts, while guaranteeing zero‑error accuracy.
  • Verify entered data by cross‑checking it against original source documents, flagging any discrepancies for review.
  • Update existing records in the database to reflect new information, corrections, or status changes.
  • Retrieve data from the database or electronic filing systems upon request from internal teams, providing timely and organized reports.
  • Perform regular backups of digital files and databases to safeguard against data loss and ensure compliance with data retention policies.
  • Sort, organize, and archive physical paperwork after digitization to maintain a clean, efficient workspace and prevent loss of original documents.
  • Collaborate with senior data team members to develop and refine data entry standards, workflow procedures, and quality control checkpoints.
  • Participate in periodic audits and data validation exercises to continuously improve data integrity across all systems.

Essential Qualifications

  • Demonstrated fast typing ability (minimum 60 words per minute) with a strong preference for candidates proficient in touch‑typing techniques.
  • Proficient use of Microsoft Office Suite, especially Word and Excel, including advanced spreadsheet functions such as formulas, pivot tables, and data validation.
  • Working knowledge of standard office equipment (printers, scanners, fax machines) and peripheral devices, with the ability to troubleshoot minor hardware issues.
  • Basic understanding of relational databases and familiarity with data entry interfaces or content management systems.
  • Excellent command of written and spoken English, with strong grammar, punctuation, and spelling skills.
  • Exceptional attention to detail, ensuring that every entry is accurate, complete, and free of typographical errors.
  • Professional demeanor and strong customer service orientation, capable of interacting courteously with internal and external stakeholders.

Preferred Qualifications & Additional Skills

  • Previous experience in a data entry, transcription, or document management role, preferably within a fast‑paced corporate environment.
  • Familiarity with optical character recognition (OCR) software and the ability to edit scanned documents for accuracy.
  • Experience with database management tools such as Microsoft Access, SQL Server, or cloud‑based platforms like Google Cloud Firestore.
  • Knowledge of data privacy regulations (e.g., GDPR, CCPA) and best practices for handling sensitive information.
  • Ability to work independently while adhering to strict deadlines and maintaining high productivity levels.
  • Strong organizational skills, with a proven track record of managing large volumes of paperwork and digital files without loss or misplacement.

Core Competencies & Skills

  • Accuracy & Precision: Consistently delivers error‑free data entry, recognizing even the smallest inconsistencies.
  • Time Management: Prioritizes tasks effectively, balancing multiple assignments while meeting or exceeding turnaround expectations.
  • Technical Adaptability: Quickly learns new software tools, data entry platforms, and workflow automation solutions.
  • Communication: Clearly conveys information, asks clarifying questions when needed, and documents processes for team reference.
  • Problem‑Solving: Identifies data anomalies, proposes corrective actions, and escalates issues appropriately.
  • Team Collaboration: Works cooperatively with data managers, quality assurance analysts, and IT support to achieve shared goals.

  • Opportunities to earn certifications such as Microsoft Office Specialist (MOS) or Certified Data Management Professional (CDMP) with company sponsorship.
  • Cross‑functional exposure to projects in data analytics, business intelligence, and process automation, allowing you to broaden your skill set.
  • Regular performance reviews that identify growth areas and set clear, achievable milestones for promotion to roles such as Data Analyst, Data Quality Specialist, or Team Lead.
