ABOUT THE ROLE Our Ideal Candidate You are a highly-organized and detail-oriented professional who excels in handling administrative responsibilities such as calendar, task and email management, call handling, database management, and document preparation. You are tech-savvy and familiar with different CRMs. You take pride in your attention to detail and your ability to identify any foreseeable issues and propose viable solutions. You are a confident and excellent communicator who is not afraid to ask questions, share ideas and express suggestions for the continued success of the organization. As a General Virtual Assistant, you will provide excellence by: • Overseeing daily operations through collaboration with management and key members of the organization. • Performing an array of administrative tasks from managing calendars, generating correspondence, answering calls, managing travel itineraries, scheduling appointments, and planning and coordinating regular corporate meetings. • Helping improve current processes through the creation of SOPs and process documentation for increased efficiency throughout the organization. • Acting as the main point of contact between staff, executives, senior leaders, and CEO regarding company updates, employee well-being, project updates, proposals, and planning. • Assisting with new hires, including documentation and onboarding, and collaborating to address and resolve all employee concerns. • Building and developing relationships with clients and stakeholders while tactfully managing confidential information and correspondences. • Managing multiple projects and tasks across programs and functions and keeping communication lines open to address roadblocks and challenges real time. • Performing additional tasks as may be assigned that could cover various functions like marketing and social media, business development, event planning and management, expense tracking, etc.

Requirements

Do you have what it takes to be our General Virtual Assistant? Consider yourself highly qualified if you have: • At least 5 years of experience as an Executive Assistant, GVA, Project Manager, Chief of Staff, or similar role. • Proven experience organizing and directing multiple projects and tasks. • Experience using several web-based project management tools such as Trello, Asana, Monday.com, Slack, Teamwork, Basecamp, ClickUp, etc. • Familiarity with current technologies, like desktop sharing, cloud services, and VoIP • Experience with word-processing software, spreadsheets, and CRMs • Knowledge of online calendars and scheduling. • Excellent phone, email, and instant messaging communication skills. • Must be presently residing in the Philippines Expected Work Hours and Timezone You are expected to work during US business hours following the CEO/Founder’s schedule.
