Position Overview

We are seeking a detail-oriented, service-driven, and tech-savvy Remote Travel Experience Coordinator & Client Journey Specialist to join arenaflex. This role is far more than a traditional data entry position — it is a dynamic blend of client relationship management, travel consultation, itinerary design, and operational administration. You will serve as a trusted advisor to clients, guiding them through every stage of the travel planning process while ensuring that all booking information, reservation details, and customer records are accurately captured, maintained, and optimized within our systems.

Key Responsibilities

Client Communication & Consultation

  • Engage with clients through multiple communication channels including phone, email, live chat, and video calls to understand their unique travel preferences, expectations, and budgetary considerations.
  • Provide thoughtful, personalized recommendations on destinations, accommodations, transportation options, excursions, and on-the-ground activities tailored to each client's interests.
  • Handle client inquiries, requests, and complaints with professionalism, empathy, and prompt resolution, ensuring every interaction reflects the arenaflex standard of excellence.
  • Build long-term relationships with clients by anticipating their needs and offering proactive travel insights and value-added suggestions.

Booking, Scheduling & Itinerary Coordination

  • Make accurate reservations for flights, hotels, vacation rentals, rental cars, tours, cruises, travel insurance, and ancillary travel services using arenaflex's preferred supplier platforms and global distribution systems.
  • Design, coordinate, and finalize comprehensive travel itineraries that align with client schedules, preferences, and financial parameters.
  • Confirm all bookings with suppliers and clients, ensuring every detail is verified and accurately documented.
  • Send detailed, well-formatted digital itineraries and travel documents to clients in a timely manner.
  • Monitor travel schedules continuously and proactively communicate any changes, delays, or disruptions to affected clients.

Data Entry & Records Management

  • Accurately input, update, and maintain client profiles, booking details, payment records, and interaction histories within the arenaflex CRM platform.
  • Ensure all data is entered with precision, consistency, and confidentiality in accordance with company policies and data protection standards.
  • Generate reports, summaries, and administrative documentation as required by the operations and management teams.
  • Identify opportunities to streamline data entry workflows and improve overall record-keeping efficiency.

Destination Expertise & Industry Knowledge

  • Stay current on global travel trends, emerging destinations, visa requirements, health and safety advisories, and entry regulations for various countries.
  • Continuously expand knowledge of travel products, supplier offerings, and competitive landscape to provide well-informed recommendations.
  • Share insights and curated travel ideas with the broader team during training sessions and knowledge-sharing meetings.

Payment Processing & Administrative Support

  • Process client payments securely and handle invoicing, refunds, and reconciliation tasks as needed.
  • Collaborate with the finance and operations teams to resolve billing discrepancies and ensure accurate financial records.
  • Support general administrative functions that contribute to the smooth operation of the arenaflex travel desk.

Essential Qualifications

  • Proven experience in a customer service, travel coordination, administrative, or data entry role — ideally within the travel, hospitality, or tourism industry.
  • Strong written and verbal communication skills in English; additional language proficiency is highly valued.
  • Demonstrated ability to manage multiple tasks simultaneously while maintaining a high level of accuracy and attention to detail.
  • Proficiency with booking platforms, CRM systems, Microsoft Office Suite, Google Workspace, and modern digital communication tools.
  • Excellent problem-solving abilities, with a resourceful and solution-oriented mindset.
  • Self-motivated and disciplined, with the ability to work independently in a remote environment while collaborating effectively with a distributed team.
  • A genuine passion for travel, customer service, and creating exceptional client experiences.

Preferred Qualifications

  • Prior experience working with Global Distribution Systems (GDS) such as Amadeus, Sabre, or Galileo.
  • Familiarity with travel supplier portals, online booking engines, and itinerary management tools.
  • Certification or formal training in travel and tourism (e.g., IATA, CTC, or equivalent).
  • Experience handling high-volume client communications across multiple time zones.
  • Understanding of data privacy regulations and best practices in handling sensitive client information.
